Bar-T Terms & Conditions

Please note: Submitting an order does NOT guarantee a spot in a Bar-T program. You will be emailed a confirmation that will serve as your reservation.

Deposit & Payments

School Year Programs, Pre-Kindergarten:

A registration fee of $100.00 per family is required at the time of enrollment. The registration fee is non-refundable once your child(ren) has been accepted into the program.  No additional deposit is required.

Total amount due at the time of enrollment: $100 per family. Bar-T bills a month in advance.  Please refer to registration.bar-t.com/school-year for dates of service. A late fee of $30.00 will be applied if payment is received after the 15th.  Families that owe a balance for over 30 days may be removed from the program. Families that enroll after August 15th will be responsible for first and second month’s tuition at the time of enrollment.

The first month’s payment is due August 15th and the final month’s payment is due May 15th.  No payment will be due in June. A $40.00 fee will be charged for all returned checks and after two returned checks, Bar-T will no longer accept personal checks and payment must be in the form of a money order or cashier’s check.

Families that arrive late to pick up their child(ren) will be charged a $1.00 per minute per child late fee.

Early Childhood Thurgood Marshall

A registration fee of $100.00 per family is required at the time of enrollment.  The registration fee is non-refundable once your child(ren) has been accepted into the program.  No additional deposit is required. Payments are due on the 15th of the month for that month. A late fee of $30.00 will be applied if payment is received after the 15th.  Families that owe a balance for over 30 days may be removed from the program.

Summer Camp: A registration fee of $50.00 per family is required at the time of enrollment. The registration fee is non-refundable once your child(ren) has been accepted into a camp. In addition to the registration fee, a deposit of $200 per family is required at the time of enrollment (this amount will be applied towards your family’s account). Total amount due at the time of enrollment: $250 per family.

Summer: Camp Session(s) Payment Due Date

Week #1 – #5 June 1st

Week #6 – #11 July 1st

Absence

School Year and Year Round Programs: Absences due to illness, vacation or whatever reason will not result in a refund or adjustment of monthly tuition.

Summer Camp: In the event that your camper is unable to attend camp for a period of three (3) or more consecutive camp days due to a serious illness and/or injury, which is confirmed in writing by a Physician, Bar-T will credit your family’s account, on a prorated basis, for each camp day missed after, and including, the 3rd day. (Credit may be used for any future Bar-T Summer Camp Program or School-Year Program)

Absence due to illness and/or injury that results in your camper missing less than 3 consecutive camp days, absence due to vacation, and absences due to any other reason (except as detailed above) will not result in a refund, credit, or adjustment to your family’s account.

Withdrawal & Enrollment Changes

School Year: Families must give at least 2 weeks written notice (help@bar-t.com) for withdrawal from the program or families will continue to be responsible for payment of fees.

Summer Camp: There are no fees for adding additional weeks of camp to your family’s registration and Bar-T is happy to accommodate these requests, at any time, provided that we have availability in the week(s) you wish to add.

Changes and cancellations to summer camp plans can be made freely up until May 31st, 2024. We will offer full refunds for any cancellations made prior to May 31st.

After May 31st, a 50% refund will be issued for Bar-T Summer Camp cancellations made. Cancellations will also result in forfeiture of the $50.00 non-refundable portion of your deposit.

Program Closures:

In the event that Bar-T is unable to provide services at any or all of our locations due to weather related circumstances or any other reason beyond the control of Bar-T, we will work to provide services at another Bar-T location.  However, in the event that we are unable to provide an alternative, no refunds or tuition adjustments will be given.

Family Contract:

Bar-T shall have the right to make all decisions regarding a child’s fitness to participate in particular activities or the entire program. Bar-T shall have the right to cancel this contract if it determines that the physical, mental or emotional condition of the child would prevent him/her from participating safely and  satisfactorily in our program or from interacting positively with other children or if the child’s parent(s) make an unreasonable demand, in the sole judgment of Bar-T, upon Bar-T. Similarly, Bar-T shall have the right to cancel this contract and dismiss the child if he/she exhibits unacceptable behavior that prevents our staff from safely supervising him/her or proves detrimental to himself/herself, other children or staff members as determined by Bar-T.

Bar-T works with each family to provide quality summer and school-year opportunities to the children entrusted to our care.  Our programs are built around an inclusionary environment with staffing ratios of one staff member for each ten children. If you believe that your child has any special needs or requirements, including dietary issues, allergies, physical limitations, or emotional/cognitive issues, that could affect his/her participation in our program in any way, please contact us during the application process so that we can discuss the accommodations that would help your child succeed in our program.  Bar-T will do its best to reasonably accommodate all special needs.

Similarly, please let us know if you, or anyone who will visit our program on your child’s behalf, require any special accommodations.  In those cases, we will also do our best to effect a reasonable accommodation.

  • The parent/guardian authorizes and consents to Bar-T’s use of the child’s photograph, portrait or image in connection with Bar-T’s brochures, web site or other promotional publications. Your child will not be identified by name in any of our material.
  • The parent/guardian gives permission for camper(s) to be transported by Bar-T. They give permission to participate in all program activities and understand that certain activities contain inherent risks. They understand that all summer transportation sites, Kids Camp sites, and extended care sites are subject to contracts issued by Montgomery County and other independent contractors in the Spring and these sites are subject to change.
  • The parent/guardian agrees to update his/her child’s file and health history information at the beginning of each program (school year and summer) and/or whenever this information changes.
  • Once your application is accepted, you will receive an email confirmation of enrollment.
  • By agreeing to this you acknowledge that you have read, understand and agree to the above terms and conditions.
